Viewable Management History

As a property manager, changes and additions are constantly being made, whether that’s updating a leasing document, creating a new maintenance request, generating a balance sheet report, or hundreds of other adjustments spanning every corner of property management. As you and your team work on putting this all together, it can sometimes be difficult to remember what has been updated and what hasn’t, or figuring out who made what decision. With online property management software, following the audit trail of any change is super simple and super detailed!
Viewing the Edit Logs
On just about any section within the online property management software, you should be able to open up the change history, whether it be for a property, a vendor, a work order, or a new lead coming in, among many others. From this history view, you can see a detailed scope of every change that has been made to this section, regardless of how big or small it was, spanning back to the original generation of the section! For example, you can open the audit log of a specific unit to view its original creation, as well as the original values, such as the description, the default rent, the square footage, and any other information that you previously input, allowing you to view how it has changed over time. You also see a date and time stamp, as well as which user made the change, whether it was someone on your team or the system automatically making an edit based on some automatic actions that you set up. Furthermore, after the initial creation, the audit history will tell you which values were changed and show you the old values as well as the new values, so you will always know what is being adjusted every time!
Transaction History
These audit logs are also available on the transaction level. There is of course the general transaction history, which will show you a list of all transactions between a certain entity, allowing you to see all of those payments. But within each individual transaction, you are also able to open up the audit history for them! This again shows you all the details as the audit log for other sections, which is great to see if an invoice was set up automatically or manually adjusted by a member of your team. This way, if there is ever any discrepancy between what the tenant or the vendor says they should pay versus what you see on the transaction history, you are able to delve deep into the edit history to sort out where the problem is. Having a complete and detailed audit log not only gives you lots of information about the creation and changing of the system, it also gives you a trail to make sure everything is working as it should, and allows you to easily figure it out if something goes wrong.
